Stock Transfers & Warehouses

Overview
Stogly supports multi-location operations with dedicated warehouses and stores. Stock transfers move inventory between these locations with full status tracking — from creation through transit to completion — so you always know where your products are.
Creating Warehouses
Warehouses are storage locations that hold inventory but do not process sales.
- Navigate to Settings > Locations > Warehouses
- Click Add Warehouse
- Enter the warehouse name and address
- Click Save
Common setups:

| Multiple stores | One warehouse per store + one distribution warehouse |
| Wholesale + retail | Separate warehouses for each channel |
Creating Stores
Stores are selling locations linked to POS devices.
- Navigate to Settings > Locations > Stores
- Click Add Store
- Enter the store name, address, and assign a default warehouse
- Click Save
Each store is automatically assigned a warehouse for its own stock. You can change the default warehouse or add additional warehouses later.
Stock Transfers
Creating a Transfer
- Navigate to Inventory > Transfers
- Click New Transfer
- Select the source location (where stock is coming from)
- Select the destination location (where stock is going)
- Add products to the transfer:
- Search by name or SKU
- Enter the quantity to transfer for each product - Add optional notes (e.g., reason for transfer, delivery instructions)
- Click Create Transfer
Transfer Statuses
Each transfer moves through a defined workflow:

|---|---|---|
| Pending | Transfer created but not yet shipped | Can be edited or cancelled |
| In Transit | Stock has left the source location | Source stock is deducted; destination stock not yet added |
| Completed | Stock received at the destination | Destination stock is updated |
| Cancelled | Transfer was cancelled before completion | If in transit, stock is returned to the source |
Updating Transfer Status
- Open the transfer from Inventory > Transfers
- Click Mark as In Transit when goods are shipped
- At the destination, click Mark as Completed once goods are received and verified
- If quantities differ from what was sent, adjust individual line items before completing
Allocation (Retail Only)
For retail businesses, allocation lets you reserve stock at a central warehouse for specific stores before creating a transfer.
- Navigate to Inventory > Allocations
- Click New Allocation
- Select the source warehouse and target store(s)
- Add products and assign quantities per store
- Click Confirm Allocation
- Once confirmed, create transfers from the allocation to move the stock
Allocations are useful when distributing a new shipment across multiple retail locations based on sales velocity or planned promotions.
Tips & Best Practices
- Name locations clearly — use consistent naming like
Warehouse - CentralandStore - Downtownso transfers are easy to understand at a glance - Complete transfers promptly — leaving transfers in "In Transit" status makes stock counts unreliable since the items are deducted from the source but not yet added to the destination
- Use notes — include delivery details or batch references in the transfer notes for easy reference later
- Review transfer history — go to Inventory > Transfers and filter by location or date range to spot patterns in stock movement
- Allocate before transferring — for multi-store retail operations, allocation ensures fair distribution before physical shipment
